Prepare a CEAC PDF under 2 MB

CEAC/NVC document uploads are a strict 2 MB workflow. Prepare each document as its own readable file, keep color when the original is color, and avoid ZIP or password-protected files.

What CEAC/NVC guidance says

  • NVC guidance says each individual scanned document must be no larger than 2 MB and acceptable file types include JPG, JPEG, and PDF. Source: NVC scanning and uploading tips.

  • Zipped files and password-protected files are not accepted.

Prepare the file without losing review value

  • Keep color when the original document is in color.
  • Check seals, stamps, signatures, and handwritten notes after preparation.
  • Do not split a document by default; scan multi-page documents together unless the destination instructions say otherwise.

Use the CEAC path in PDF Ready

  • Choose CEAC so the app uses the conservative 2 MB framing.
  • Review the current file size, upload limit, and reduction warning.
  • Export the clean copy only when it is under 2 MB and readable.

What PDF Ready cannot control

  • PDF Ready is independent and is not affiliated with CEAC, NVC, or the U.S. Department of State.
  • CEAC can reject a file for reasons beyond size, including file type, password protection, modifiable PDFs, or portal issues.
  • Keep the original document file until CEAC accepts the upload.

CEAC review checklist before submission

  • Make sure the file is a JPG, JPEG, or PDF according to the current NVC guidance.
  • Keep each required document as its own file and avoid ZIP workarounds.
  • Check that color documents remain color and that stamps, seals, handwritten notes, and multi-page order are readable.
  • If CEAC shows a different instruction in your case account, follow that current instruction.
